Position Overview

The Muslim Family Center is seeking a dedicated and proactive Eid Director to lead the planning and execution of a well-organized, meaningful, and enjoyable Eid experience for our community. 

The Eid Director will be responsible for coordinating all aspects of Eid day, including the prayer service, community activities, vendor arrangements, and volunteer management, ensuring a seamless and blessed celebration for all.

Key Responsibilities

Program Preparation & Planning

  • Update and modify an existing comprehensive plan and recruit teams of volunteers for the Eid prayer and post-prayer activities. 

  • Create a detailed timeline of all activities.

  • Coordinate logistics with the selected venue and vendors, including setup and cleanup.

  • Oversee vendor selection, negotiations, and management (e.g., food, activities, entertainment, decorations).

  • Support recruitment, training, and supervision of volunteers to ensure smooth execution.

  • Create and manage event budgets, ensuring cost-effective use of resources.

  • Ensure all planned activities align with cultural and religious values of the MFC community.

  • Address issues promptly and professionally during the event to maintain a positive experience.

  • Develop an emergency response plan for issues, weather, or other security concerns.

Day-Of Operations

  • Act as the central point of contact for vendors, staff, and volunteers.

  • Oversee parking and traffic control volunteer team, including parking shuttles if required, safety vests and cones.

  • Ensure AV volunteer team has what they need for setup to ensure clear sound, including livestream services and speaker setup and test all equipment prior to prayer.

  • Ensure the prayer setup team has what they need, including tarps, podium, chairs for prayer services.

  • Oversee volunteer team of greeters, donation box collections, goody bags, and shoe bags.

  • Ensure communication across all volunteer teams who are operating in parallel.

  • Ensure decorations are setup appropriately, including signs, balloons, and stands.

  • Oversee post-prayer activities including food vendors, rides, businesses, and activities to ensure they are setup and operating in the appropriate locations.

  • Escalate issues as needed to the appropriate leaders to ensure streamlined and efficient resolutions.

  • Ensure spaces remain clean, organized, and adequately staffed with support. Plan for accessibility.

  • Coordinate delivery, setup, and teardown schedules for equipment and supplies.

  • Ensure availability of first aid stations and any medical considerations.

  • Coordinate with onsite security personnel as required.

  • Monitor schedule to ensure activities run on time.

Post-Event Priorities

  • Conduct surveys and debrief meetings with attendees, vendors, and volunteers for insights and areas for improvement.

  • Compile a final report, including attendance, budget analysis, and lessons learned.

Qualifications

  • Experience: Proven experience in event planning or project management, preferably for community events.

  • Skills: Strong organizational, leadership, and communication skills; ability to manage effectively. Ability to work under pressure and meet deadlines.

  • Technical Skills: Comfortable using WhatsApp, QR code-based systems, and other technology tools.

  • Cultural Awareness: Familiarity with the significance of Eid and Islamic traditions is preferred. 

Compensation

  • Hourly Rate: Competitive, commensurate with experience. Hourly rate or project-based pay negotiable.
